Toastmaster.io provides AI-powered writing services, including eulogies, obituaries, wedding speeches, and wedding vows, as well as memorial website hosting. Information We Collect

We collect limited personal information that you voluntarily provide when using our services. This includes your email address, which is used to deliver generated content, purchase confirmations, and essential service communications. We also collect the text, stories, optional voice recordings you dictate (which we transcribe to text), and other information you submit through our forms in order to generate personalized written content.

If you use our memorial website service, we may additionally collect photos you upload, biographical information about the deceased, and content contributed by memorial visitors (such as tributes and shared photos). Visitors who contribute provide their email address, which we use only to verify their contribution. Memorial pages may also record anonymous aggregate view counts.

If you contact us, we keep your message and contact details so we can respond. We also process IP addresses transiently for security and rate limiting, along with standard server logs.

Payments are processed securely by our payment processor, Stripe. Toastmaster does not store or have access to your full payment details, such as credit card numbers.

When you use our website, certain anonymous usage data may be collected automatically. This may include pages visited, actions taken, referral sources, browser type, device information, and approximate location such as country or region. We collect this information using a privacy-focused, cookieless analytics tool that does not use cookies, local storage, or any other client-side tracking technology. No personally identifiable information is collected through our analytics, and visitors cannot be tracked across websites.

Sensitive Information

Because our services help you write about life's most personal moments, the information you choose to share may include sensitive details - for example religious beliefs, or health information such as a cause of death - about you, the person you are writing about, or family members. We process these details only to write and deliver your text or to operate your memorial, never for marketing, advertising, or profiling, and we rely on your explicit consent, which we ask for when you submit a form. You can withdraw consent and request deletion at any time by contacting hello@toastmaster.io. Danish law extends data protection to deceased persons for 10 years after death, and we honor requests concerning a deceased person's information accordingly.

How We Use Your Information

We use your personal information to provide and deliver AI-generated content, send access links and receipts, process payments, prevent fraud, improve and optimize our services, measure advertising effectiveness, and comply with legal and regulatory obligations.

Reminder and Marketing Emails

If you start a form or checkout and do not finish, or if you have purchased from us, we may send you a small number of reminder or related-service emails, where permitted by the law of your region. We do not send these emails to visitors from regions that require prior opt-in consent, such as the European Economic Area and the United Kingdom. Every such email contains a one-click unsubscribe link, and unsubscribing never affects delivery of your purchased content or receipts. We do not share your email address with third parties for their own marketing.

Legal Basis for Processing

For users located in the European Economic Area, we process personal data based on one or more of the following legal grounds: the performance of a contract when processing is necessary to deliver the requested service; our legitimate interests in operating, improving, and securing our services, including through anonymous, cookieless analytics that do not process personal data; and compliance with legal obligations.

AI Processing and Generated Content

To generate content, the information you submit may be processed by third-party AI providers, and voice recordings you dictate are transcribed by one of them. Your content is shared with these providers solely for the purpose of generating the requested text. We do not sell your content, and it is not used for advertising purposes. We do not use your content to train our own AI models. These providers process data in accordance with their own privacy policies and applicable safeguards.

Memorial Pages Are Shared Spaces

A memorial page set to public is visible to anyone with the link and may appear in search engines; the name a visitor posts with a tribute is publicly visible on that page. Unlisted memorials are excluded from search engines and our sitemap, and password-protected memorials additionally require the password to view. Photos are served from unlisted addresses that are not discoverable but do not themselves require a password. Memorial owners can moderate or remove visitor contributions at any time.

Data Retention

We retain personal information only for as long as necessary to provide access to your generated content, operate the service, and meet legal, accounting, or regulatory requirements. In practice: form content from unpaid submissions is deleted after roughly three weeks; unverified memorial contributions and photos are deleted if not confirmed; purchased content is retained so you can access it; memorial content is retained while a plan is active and for at least 90 days after a memorial is unpublished; and payment records are kept as required by Danish accounting law. You may request deletion of your personal information at any time by contacting hello@toastmaster.io.

Cookies and Advertising

We keep cookies to a minimum. Our website analytics are powered by a privacy-focused, cookieless service that collects only anonymous, aggregated usage data and stores nothing on your device.

We use a small number of strictly necessary first-party cookies for core functionality, such as keeping you signed in, securing access to password-protected memorials, remembering that you have already been counted in a memorial's view count, remembering checkout state, and remembering your cookie choice itself. These cookies do not track your activity across other websites.

We also use Google Ads conversion measurement, which sets Google advertising cookies and, after a purchase, shares a securely hashed version of your email address with Google to measure the effectiveness of our advertising. We do not use these cookies for personalized advertising. If you are visiting from a region where consent is required, such as the European Economic Area or the United Kingdom, these advertising technologies load only if you allow them through our consent prompt. Wherever you are, you can change your choice at any time using the Cookie settings link on this page, in the site menu, or in the checkout footer. Your choice is remembered for up to 12 months. When you answer the consent prompt, we record only the choice made, the country it was made from, and the version of this policy in force - never your IP address or identity - so we can demonstrate that consent was collected properly. We do not sell personal data.

Data Sharing and Third Parties

We share personal data only with the service providers needed to run Toastmaster, under data processing agreements: Stripe (payments), Vercel (hosting and photo storage), MongoDB Atlas (database), Anthropic and OpenAI (text generation and transcription), Resend (email delivery), Upstash (security rate limiting), Umami (anonymous analytics), and Google (advertising measurement, where permitted or with your consent). We do not sell personal data.

International Data Transfers

Your information may be processed and stored outside your country of residence, including in the United States. Where required by law, we rely on appropriate safeguards such as Standard Contractual Clauses or equivalent mechanisms to protect international data transfers.

Your Rights

Depending on your location, you may have rights under applicable data protection laws, including the right to access your personal data, correct inaccurate information, request deletion, restrict or object to processing, request data portability, withdraw consent at any time, and lodge a complaint with a relevant supervisory authority. Children's Privacy

Toastmaster.io is not intended for children under the age of 16, and we do not knowingly collect personal information from children.

Security

We take reasonable technical and organizational measures to protect your personal information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
